A Lindy inbox agent that labels your mail, drafts replies for two categories and sends a daily summary
Turn on Lindy’s built-in inbox routines, with no workflow to draw: every incoming email gets a label, two kinds of email (for example customer questions and quote requests) get a reply saved as a draft in your voice, and each morning you get a short summary of what needs you. Nothing is sent without you.
Steps
- Create a Lindy account at lindy.ai (free credits for the first 7 days, no card needed) and connect your Google or Microsoft email when the setup asks for it. Lindy reads your inbox through this connection, so use the mailbox you actually want triaged, not a shared one.
- Open Routines in the left sidebar and the Personal tab. Click the Email labeling card and switch it on. Lindy starts with default labels (To Respond, FYI, Newsletters, Comments, Notifications, Invoices): keep the ones you want, delete the rest, and drag each label into “Keep these in my inbox” or “Move these out of my inbox” (that section also archives the email after labeling).
- Add your two reply categories with New label: name, colour and an Instructions field in plain language, for example “Questions from customers or prospects about {PRODUCT}” and “Requests for a quote or price”. Keep them in the inbox. Add one more label for anything that must never get a draft, such as “Legal, HR or complaints”.
- Back on the Routines page, switch Email drafting on and click its card. Paste the template below into Drafting instructions, fill the placeholders, and add your sign-off under Your signature. Drafts are saved to your Drafts folder only; Lindy never sends them.
- Switch Daily briefs on and click the card. Write what you want in the prompt, for example “Each morning, list every email from the last 24 hours labelled To Respond or Quote request with sender, one-line summary and whether a draft is waiting; then anything labelled Invoices; then today’s meetings”, and set the delivery time and channel (Slack DM, text message or Lindy chat).
- Test before trusting it: send yourself three emails that fit each category, wait for the labels to appear in your mail client, open Drafts and read the replies, then ask Lindy in chat “Dry-run my daily brief” to see the summary without anything being sent. Fix the label instructions if an email landed in the wrong bucket.
- Live with it for a week: edit drafts before sending (Lindy learns from your edits and stores what it picked up under Learned instructions), and tighten the drafting rules as you go. Prefer Zapier? In Zapier Agents (agents.zapier.com) click + New agent, choose a Gmail trigger for new emails, add the tools Gmail: Add label and Gmail: Create draft reply with the same template, and a second agent on the Schedule by Zapier trigger that emails or Slacks you the daily summary; test, then Publish.
Agent template
Replace anything in { } with your details.
You draft email replies for {YOUR NAME}, {ROLE} at {COMPANY}. Reply in the language of the incoming email (Arabic or English).
Draft only for emails labelled {LABEL 1, e.g. Customer question} or {LABEL 2, e.g. Quote request}. Skip everything else, and never draft for emails labelled {NO-DRAFT LABEL, e.g. Legal/HR/Complaint} or from {DOMAINS OR PEOPLE TO SKIP}.
About us: {2-3 LINES: what you offer, prices or links you may quote, delivery or response times}.
For {LABEL 1}: answer the question directly using only the facts above; if the answer is not there, say you will check and ask one clarifying question.
For {LABEL 2}: thank them, confirm what they asked for, ask for the {DETAILS YOU NEED FOR A QUOTE, e.g. quantity, deadline, location}, and say a quote follows within {TIMEFRAME}. Never state a price or discount that is not in the facts above.
Style: {e.g. warm, short sentences, no exclamation marks}. Under 120 words. Greet with the sender’s first name if present. End with my signature.
Never promise dates, refunds or discounts. Never send; save as a draft only. Expected output
Every incoming email labelled within minutes, a ready-to-edit draft in your Drafts folder for the two categories you chose, and a morning message listing what needs a reply, what is waiting as a draft and any invoices; you send every reply yourself.
Gotchas
- ⚠ The free credits last 7 days; after that Lindy is $29.99/mo for 3,000 credits, billed per user. Credits are only spent while Lindy works, but an inbox with hundreds of newsletters a day burns through them, so archive the noisy labels out of the inbox first.
- ⚠ Lindy reads every email in the connected mailbox, including the ones it never labels. Use a work account you are allowed to connect, and check your company’s data policy before connecting a shared or customer-facing inbox.
- ⚠ The “Move these out of my inbox” section archives mail. Start with everything in “Keep these in my inbox” for the first week, then move Newsletters and Notifications out once you trust the labels.
- ⚠ Drafts reflect whatever facts you put in the instructions. Leave prices out unless they are public and current, or you will spend the week deleting wrong quotes.
- ⚠ Some Lindy features (Skills, the “Sent with Lindy” footer, inbox counts per plan) are rolling out gradually, so your account may look slightly different from the docs; the Routines cards above are the stable part.
